Institution settings determine shared values used in school pages and messages. Review these values before inviting users or sending operational communications.
Before you begin
- Only an authorized Institution Admin should change shared settings.
Confirm branding and date presentation on both desktop and a narrow screen.
-
Open System Settings
Sign in with Institution Admin access and open System Settings from the navigation or profile menu.
-
Review the school identity
Confirm the school name, logo, contact details, email footer, and any configured branded portal URL. Use approved artwork and official contact information.
-
Set up MailFrom
On the Setup MailFrom tab, enter the school-controlled sending domain. The school IT administrator publishes the DNS records shown there; an Institution Admin then verifies the domain, SPF, DKIM, and any additional DKIM selector shown. After verification, configure the sender display name and generated sender address and send a test message.
-
Set up a custom Portal URL
Enter a school-controlled subdomain and follow the ownership verification steps shown on the page. The school IT administrator creates the CNAME using the exact target displayed in Portal URL setup. OCR for Schools uses devschools.oneclickrooms.com in development and schools.oneclickrooms.com in production.
-
Verify the existing setup
Select Verify CNAME or Refresh Status. The page checks existing setup and confirms a completed mapping instead of asking you to create existing records again. User-facing statuses are Internal Record: Exists, Hostname creation: Pending / Exists, and Portal URL mapping: In progress / Completed.
-
Set the time zone and date display
Choose the school time zone and the date format used for user-facing dates. The recommended display convention for this documentation is DD-MM-YYYY.
-
Save and verify
Save each setting and review a page, notification preview, or email flow that uses it. Reopen settings to confirm the persisted value.
Incorrect identity, time zone, or email details can confuse users and affect school communications.
Display versus stored values
A date display setting changes how supported dates are presented to people. It does not change the underlying stored records or machine-readable date values.
A time-zone change can affect how scheduled events are displayed. Review upcoming schedules before changing it.
Email and branded portal links
The configured school identity and verified MailFrom sender are used for supported invitation and notification emails. Account setup and verification links use the school portal environment or its verified branded portal URL. Test delivery using an authorized school account and confirm both the sender and link open the expected school portal.
